The Club's Annual & Special Meeting takes place on Saturday October 21st, 1:00 p.m. in the new Depot lodge.
Members have the option to attend the meeting in person, or join via ZOOM.
If you plan to join via ZOOM, please read the following:
Instructions On How to Register to Attend and Join the Meeting Via ZOOM:
- If you haven't already, download ZOOM to the device you will use to join the Meeting (desktop computer, laptop or mobile device) at Zoom.us
- If you have not used ZOOM, we suggest you become familiar with it before the Meeting by setting up your own practice meeting with family or friends.
- You must register in advance to attend the Meeting.

- After registering, you will receive a confirmation email containing information about joining the meeting.
- Upon joining the meeting, all participants will have their audio automatically set to mute, their video turned off and “chat” turned off. The meeting host will have the ability to ask an individual to unmute their audio and/or video if required at any point.
Instructions on How to Vote:
Because of the large number of items to vote on and the hybrid in person / Zoom style of meeting, voting will be conducted this year through an online platform provided by Simply Voting (https://www.simplyvoting.com/), which is a Canadian-based company that provides voting services to over 5000 organizations in 74 countries.
All Family, Single and Senior Members who are current with all dues, assessments and other amounts levied or charged by the Club are Voting Members of the Club and may vote at meetings of the Club. Members without voting rights are invited to attend the Meeting.
Here are the important points about how the online voting will work:
- Each eligible voter will receive a personalized email from [email protected]. It will contain a password as well as a direct link to the ballot.
- In order to receive an email concerning voting, you must have a unique email address registered with the Club. Please review your profile on the Club’s website (use the dropdown menu beside your name in the top right corner to edit your profile and go to the Emails section) and ensure that your email address is different from that of other family members.
- Proxies will not be provided for this meeting.
- You must submit your ballot relating to all questions on the ballot at one time. Once you have submitted your ballot, it cannot be changed.
- You have the ability to vote as soon as you receive the email. The exact time of the close of voting will be announced at the annual meeting.
- If you do not plan to attend the meeting in person or via ZOOM, please vote prior to the day of the meeting.
- If you plan to attend the meeting in person or via ZOOM, you can choose to:
1) vote in advance of the meeting or
2)wait and vote at the meeting using your own device (mobile phone, tablet).
- Limited assistance with voting will be available at the meeting.
